AIendome provides a transaction platform for estate agencies. We take the protection of personal information seriously and design for compliance with South Africa's Protection of Personal Information Act (POPIA) and the UK GDPR.
Who we are
AIendome ("we", "us") operates this website (aiendome.com) and the AIendome application (app.aiendome.com). For privacy matters, contact michael@aiendome.com.
Information we collect
On this website
- Nothing beyond standard server logs (IP address, requested page, timestamp), retained briefly for security and reliability. This site sets no tracking cookies and uses no third-party analytics.
- If you email us, we receive the information you choose to send.
In the AIendome application
- Account information: name, email address, role and organisation, used to operate your account and enforce access control.
- Transaction data: documents, messages, call summaries and compliance records that agencies process through the platform. For this data the agency is the responsible party / controller; AIendome processes it on the agency's instructions.
- Usage and audit records: actions taken in the platform are recorded in audit logs to meet compliance obligations (who accessed what, when, and why).
How we use information
- To provide and secure the service, including authentication and role-based access.
- To process documents and communications as instructed by the agency, including AI-assisted extraction and summarisation, always subject to human review workflows.
- To meet legal obligations, including FICA/AML record-keeping performed by agencies.
- We do not sell personal information. We do not use customer data to advertise.
Where data lives
Production data is hosted in South Africa (Johannesburg). Some sub-processors, such as AI model providers and communication channels (WhatsApp Business, email delivery), may process data in other regions strictly to provide the service.
Retention and deletion
Data is retained for as long as the agency's account requires it or as law demands (e.g. FICA record-keeping periods). Deletion requests follow a soft-delete and reviewed-restore model with a final purge, so accidental loss can be reversed while genuine deletion is honoured.
Your rights
Depending on your jurisdiction (POPIA / UK GDPR), you may request access to, correction of, or deletion of your personal information, and object to certain processing. Write to michael@aiendome.com and we will respond within a reasonable period. South African data subjects may also lodge complaints with the Information Regulator; UK data subjects with the ICO.
Changes
We will update this policy as the product evolves and note the date above. Material changes affecting application users are communicated in-app.
